Propvia ("we", "us", "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use propvia.com.au and our related services (the "Platform"). It is written to comply with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

1. Information we collect

We collect the following categories of personal information:

  • Account details — name, email address, phone number, and password when you register or sign in.
  • Listing information — details you provide when creating a property or business listing, including contact details, addresses, photos, and descriptions.
  • Newsletter subscriptions — your email address when you subscribe to our enews.
  • Usage data — pages visited, search queries, saved properties, device type, browser, and approximate location derived from your IP address.
  • Communications — messages you send via contact forms, the AI search assistant, or direct correspondence.

2. How we use your information

We use personal information to:

  • Operate, maintain, and improve the Platform.
  • Authenticate users and protect against fraud or abuse.
  • Display listings, market data, and personalised search results.
  • Send transactional messages (e.g. account verification, listing updates).
  • Send marketing communications (e.g. our enews) where you have opted in. You can unsubscribe at any time.
  • Comply with legal obligations and respond to lawful requests.

3. How we share information

We do not sell your personal information. We may share it with:

  • Service providers who help us operate the Platform (hosting, analytics, email delivery, AI processing).
  • Other users — listing contact details you publish are visible to anyone browsing the Platform.
  • Authorities when required by Australian law or to protect our rights and the safety of users.

4. Cookies and tracking

We use cookies and similar technologies to keep you signed in, remember preferences, and measure how the Platform is used. You can control cookies through your browser settings, but disabling them may limit some features.

5. Data security

We use industry-standard safeguards including encryption in transit (HTTPS), access controls, and regular security reviews. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

6. Data retention

We retain personal information for as long as your account is active, as needed to provide the Platform, or as required by law. You can request deletion at any time (see Your rights below).

7. Your rights

Under the Australian Privacy Principles you can:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or out-of-date information.
  • Request deletion of your account and associated personal information.
  • Opt out of marketing communications at any time.
  • Make a complaint about how we handle your information — first to us, and if unresolved, to the Office of the Australian Information Commissioner (OAIC).

8. Overseas data transfers

Some of our service providers process data outside Australia. Where this happens, we take reasonable steps to ensure your information is handled in line with the APPs.

9. Children

The Platform is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.
